    As Executive Assistant you will support a senior residential property consultant in achieving greater levels of success for the team. At the same time, you will continue to develop into a supportive leader / manager. Your leadership on all administrative tasks will allow the Lead Agents to focus on generating new business, negotiating deals and staying in touch with past clients.

    Overview of Administrative Responsibilities:

    As Executive Assistant, your main responsibility is to build, implement and manage all systems for Tenant, Landlord lead generation, database management, information management, and back office support. This person relishes the opportunity to build, implement and manage multiple systems while performing the following tasks:

    •Keep the lead agents informed regarding any problems or issues that need to be handled

    •keep calendar updated with all events

    •Produce documents, briefing paper, report and presentations when needed

    •Maintain organized files on each client

    •Attend training and development courses as requested

    Overview of Marketing Responsibilities:

    •Maintain all aspects of Team Database including updates, revisions, additions of any personal information of clients

    • Coordinate with marketing team.

    Overview of Listings/tenant/Landlords/Leads/Contracts:

    Listing Coordinator:

    •Enter listings into CRM/MLS software

    •Execute Listing Marketing plan

    •Process all brokerage paperwork and CRM Paperwork

    •Relay all necessary documents to contract coordinator/Property Consultant in a timely manner

    •Correspond with all clients to ensure that they are informed of deadlines and important dates from contract to close

    •Take ownership of transactions from Contract to Close

    Overview of Client Relations:

    •Call consultant/landlords regarding showing request and availability for consultant

    •Collect feedback from agents regarding showing of property by phone and/or email

    •Serve as a Liaison via phone and email for agents between clients, , lenders, inspectors, staff, HR etc.

    Technical Requirements to be successful in this role:

    •Experienced with Microsoft Excel,Word, Publisher, outlook, Salesforce is a plus

    •Str0ng ability to operate within multiple programs quickly and efficiently

    •good telephone skills

    •Str0ng written and verbal communication skills

    •Exceptional organization skills and project management abilities

    •Exceptional attention to detail

    •Ability to stay calm under pressure

    •Excellent ability to multi-task when necessary

    •Professional appearance and demeanor at all times

    •Team Player

    •Great English written and spoken skills, any additional language is a plus

    Salary: basic salary + bonus
